Example use case, not a customer story

How a facilities management company would handle its waste records on QWTN

A facilities management firm with waste at thirty sites and four contractors. It needs proof of where waste went, and a number for the sustainability report.

  • 30sites in the portfolio
  • 4waste contractors
  • 3people on the waste team
  • £29Carrier, a month

An invented business. The team, fleet and volume figures are assumptions for this example, not results from a customer.

Who they are and what goes wrong

A facilities management company that looks after offices, a retail park and a school estate. It does not collect waste. It arranges collections with four contractors, keeps the records for each site and reports tonnages to its clients and its own sustainability team.

Transfer notes arrive as PDFs, photos and paper from four contractors. Nobody knows if every site has its notes, or whether each contractor’s registration is still in date.

When a client or an auditor asks for recycling and landfill figures, the answer is a week of assembling spreadsheets from whatever was filed.

How the work runs

  1. Set upAdd each contractor and siteAdding a contractor checks its registration on the Environment Agency register straight away. It is re-checked weekly, and the account owner is warned before a registration, permit or insurance lapses. The warning window is set in days.
  2. Each weekCollect the notesA contractor can upload a transfer note through an upload link with no account. It lands in an inbox for review. Contractors that run QWTN themselves can give the company access to their customer portal instead.
  3. In the portalSee each site’s documentsA carrier’s multi-site portal shows account admins every site and site managers only their own. Every transfer note, weighbridge ticket and invoice is searchable by site and date, with a duty-of-care pack per site and period. Site managers can book extra lifts and report missed collections with photos.
  4. Each siteWalk the audit checklistA ten-point duty of care checklist per site covers waste description, hierarchy declaration, containment, carrier and permit checks and note retention. The overview shows which sites still have gaps.
  5. Quarter endRun the ESG reportTonnage, recycling rate, landfill diversion and estimated carbon, for all sites or one, by contractor or by waste code, for any period. Export CSV or PDF. A transfer note under query is counted and flagged, with a prompt to resolve it before the figures go out.

The plan that fits

Carrier for a small team, Solo for one person

The pricing table does not list the producer hub as a separate feature, so the plan follows the number of people who need to log in. Three people on the waste team fit inside Carrier, which allows up to five. A single person could use Solo. The customer portal is set up by the carrier on its own Carrier or Fleet plan.

What would change it. More than five people with logins would need Fleet.

Compare every plan
  • Carrier£29 a month, or £290 a year
  • Up to 5people on this plan

No VAT charged. QWTN is not VAT-registered, so the price you see is the price you pay.

What to check first

The plan and feature details that matter most for this example.

  • No Defra digital waste tracking reporting duty has been announced for producers. Transfer notes and the duty of care still apply.
  • The portal exists only where a contractor runs QWTN. Other contractors use the upload link.
  • Carbon figures are estimates, with the method shown on each report.

Start with the free register check for one contractor, then add the rest when you create an account.
