For larger operators

One system for every depot, driver and customer site

The app that makes a sole trader’s first transfer note also runs operators with thousands of customers, dozens of drivers, multiple depots and hundreds of jobs a day. Lists load a page at a time and totals come from the database, so the oldest record opens as fast as the newest.

  • 35,000+jobs in one test account
  • 12,000+transfer notes
  • 10,000+invoices
  • ~1 sto open each list

Measured on one load-test account with 60 users and 2,500 customers. Your figures depend on your data and connection.

Contracts and billing runs

Price every customer and site the way you actually charge, then invoice a month of jobs in one reviewed run.

  • Price lists with per-customer and per-site contracts that override them
  • Per lift, per tonne by EWC code or waste stream, container rental by day or week, fixed charges
  • Minimum charges, exception charges, fuel and environmental surcharges, annual uplifts from a date
  • Weighbridge weights used where a ticket is linked to the job; each job is billed once, re-runs skip it
  • Review screen before anything is issued: untick lines, change a price, skip an invoice
Example data. Untick a line to leave it out of this run; its jobs stay unbilled.

Change history, legal hold and retention

Every edit to notes, jobs, clients, invoices, contracts, vehicles, team and settings is recorded with who made it, when, from where and the old and new values.

  • History on every key record, and a team-wide search with CSV export
  • Source recorded: the app, the driver app, the API (with the key used) or an automatic job
  • Legal hold blocks deletion of a customer’s records while a dispute or investigation is open
  • Retention you set, never shorter than the legal minimum for transfer notes and consignments
Example data. Every edit keeps who, when, where from and the old and new values.

Roles, depots and team access

Office, finance, H&S, transport, auditor and driver roles, each seeing what their job needs, across as many depots as you run.

  • Drivers see their own jobs and notes, not every customer’s
  • Finance and auditors read what they need without being able to change operations
  • Custom roles built from 30+ permissions, with a side-by-side role comparison, e.g. an accounts assistant who invoices but cannot issue credit notes
  • Approvals: credit notes or billing runs over an amount, price and contract changes, and deletions can need sign-off before they happen
  • Depot-restricted users only see their depots’ jobs, notes, vehicles and containers
  • SAML single sign-on, SCIM provisioning and two-factor sign-in
  • Team page built for large teams: search, role and depot filters, bulk role changes, bulk invites
Example data. Custom roles are built from individual permissions; credit notes over a set amount can need sign-off.

A customer portal for multi-site accounts

Supermarkets, councils and construction groups with hundreds of sites get their own portal, with each of their people seeing the right sites.

  • Account admins see every site and manage their own colleagues; site managers see only their sites
  • Finance users get invoices, credit notes and spend reports; viewers are read-only
  • Customers book extra lifts and container deliveries, exchanges and removals, report missed collections with photos and ask for quotes
  • You approve in a requests inbox and the job lands on your schedule; the customer is emailed either way
  • Every transfer note, consignment note, weighbridge ticket and invoice by site and date, with ZIP downloads and a duty-of-care pack
  • Spend by site and month, waste by EWC code, recycling, landfill diversion, estimated carbon and missed collections, as CSV or PDF
More about the client portal
Example data. A site manager sees only their own sites; account admins and finance users see more.

Recycling and carbon reporting

Give each client the figures their sustainability team asks for, built from the transfer notes you already sign.

  • Tonnes by waste code, client, site and month, with the recovery or disposal route of the site each load went to
  • Recycling rate and landfill diversion, counted only on tonnes whose final route is recorded
  • Carbon estimated with the DESNZ 2026 greenhouse gas conversion factors, with the method on every report
  • A branded PDF per client and period, a full CSV, and a returns worksheet by waste code and route
  • Multi-site customers see the same figures in their portal, limited to their own sites
  • Your history comes with you. Past jobs and transfer notes are imported as records, so reports, ESG figures and duty of care retention are complete from the first day.
Example figures for a fictional customer. Rates count only tonnes whose final route is recorded; carbon uses the DESNZ 2026 conversion factors and the method is printed on every report.

Client CRM and dispatch at volume

Thousands of accounts and hundreds of jobs a day, without the screens grinding to a halt.

  • Client records with contacts, sites, a full activity timeline, balances, aged debt, follow-ups and a pipeline
  • Schedule grouped by driver, vehicle or status, with bulk assign, reschedule and cancel
  • Late and exception filters that match the counts at the top of the page
  • Map with clustered pins and depot filters for thousands of sites and containers
Example data. Group by driver, vehicle or status; bulk assign, reschedule and cancel from the selection.

A REST API for everything

Typed endpoints for the core records, plus /api/v1/app to reach anything the web app can do, with the permissions of the person who created the key.

  • Bulk create up to 100 records per call, with a result for each one
  • Idempotency keys, per-key rate limits and an OpenAPI 3.1 spec
  • Signed webhooks when notes are signed, collections complete or invoices are paid
Developer docs
Up to 100 records a call. Each is checked on its own, so one bad row does not stop the rest.

Security: what is in place today

Certifications we hold are listed here. The ones we do not hold yet are marked as planned.

Security and trust centre
  • Data stored and processed in the UK and EU
  • Row-level security on every table, scoped to your team
  • Encryption in transit (TLS 1.2+) and at rest (AES-256)
  • 99.5% monthly uptime target in our SLA
  • Article 28 data processing agreement and a published sub-processor list
  • Cyber Essentials, an independent penetration test and ISO 27001 are planned, not held today

Questions larger operators ask

Is there a separate enterprise plan?
Not today. Everything on this page is in the product now: contracts, billing runs and the multi-site portal are on Carrier and Fleet, change history is on every plan, and the API is on Fleet. Talk to us if you need help moving a large operation across.
How big an operation has QWTN been tested with?
We load-tested one account with 60 users, 2,500 customers, about 4,600 customer sites, 35,000+ jobs, 12,000+ transfer notes and over 10,000 invoices. Lists page on the server and open in about a second at that size.
Can our customers with many sites use the portal?
Yes. A customer account can have hundreds of sites and as many portal users as they need. Account admins see everything, site managers only their sites and finance users only invoices and spend.
Do you hold security certifications?
Not yet. Cyber Essentials, an independent penetration test and ISO 27001 are planned. The security page lists exactly what is in place today.
