Change History and Legal Hold
Every create, edit and delete on your records is kept: who did it, their role, when, from where, and the old and new values.
1. What is recorded
Transfer notes, consignment notes, collections, clients (and their contacts, sites, activities and follow-ups), receiving sites, containers, invoices with their lines, payments and credit notes, quotes, contracts, price lists and rates, vehicles, maintenance, team members, roles and company settings. Each entry shows the person and their role, the time, the source (web app, driver app, API key, scheduled job or system) and each changed field with its old and new value. Images, signatures and other long values are noted as changed without being copied, and passwords and tokens are never recorded.
2. Where to see it
Notes, invoices, clients (Activity tab), collections, containers and vehicles each have a Change history panel. Change history in the sidebar (under Audit log) lists every change across the account, with filters for record type, action, source, person and dates, and an Export CSV button that downloads every matching change. The Activity log alongside it keeps sign-ins, sends and exports.
3. Who can see it
The account owner, admins and auditors. Other roles do not see the panels or the page. Nobody can edit or delete history entries.
4. Retention and legal hold
History is kept for 7 years by default; owners and admins can change this on the Change history page, but never below 3 years, because UK rules require hazardous consignment records for 3 years and transfer notes for 2. Placing a legal hold on a client, note, consignment note, invoice or collection stops it (and, for a client, its notes, invoices and collections) from being deleted, and keeps its history when old history is purged. Only the account owner can purge history older than the retention period.
