Client Portal
Multi-site accounts, requests and reports
Give customers with many sites the right people, the right sites and a way to book work and download their records.
1. Roles for portal users
Each person at your customer signs in with their own email. Pick a role for each: Account admin sees every site, every document and invoice, can book work and can invite or change their own colleagues. Site manager sees only the sites you assign and can book work for those sites. Finance sees invoices, credit notes and spend reports only. Viewer is read-only. Set roles and sites from the client page, Contacts tab, under Portal contacts, using Role and sites.
2. Choosing sites
A site manager must have at least one site. A viewer can be limited to some sites or left with every site. Account admins and finance users always cover the whole account. The site list searches as you type, so it works for customers with hundreds of sites.
3. Requests: bookings and problems
Account admins and site managers can ask for an extra collection, a container delivery, exchange or removal, report a missed collection or a problem with up to three photos, ask for a quote or suggest new site contact and access details. Each request lands in Clients, Customer requests, and your office team gets a notification. Book it to create the job on the schedule (you can change the date and add a time), apply site changes, or decline with a reason. The customer is emailed either way and can follow the status in their portal.
4. Documents and duty-of-care packs
The Documents tab lists every transfer note, consignment note, weighbridge ticket, invoice and credit note for the sites the person can see, 50 at a time, with search and filters by type, site and date. Download ZIP takes everything matching the filters: a full listing plus up to 400 transfer note PDFs. Duty of care pack adds a summary of waste by EWC code and by site for the period. For a year across many sites, pick a site or a shorter range.
5. Reports
The Reports tab shows spend by month and site, waste by EWC code and site, how much went to recycling, treatment or landfill, and collections completed versus missed, for the whole account or one site. Export to CSV, or use PDF to print or save the page. Finance users see spend only; viewers and site managers see waste and collections.
