Scheduling
The Live board: watch the day and move jobs
How to see every job and driver on one screen, what each state means, and how to reassign jobs, flag a problem or message a driver.
1. What it is
The Live board shows one day's jobs and every driver on a single screen, and it updates without a refresh. Find Live board in the sidebar, just below Schedule. It needs a plan with collection scheduling (Carrier and above). Drivers do not get it. It is for the office.
2. Who can use it
Anyone who can see the Schedule can open the board: owner, admin, office, finance and auditor, or a custom role with "View jobs and schedule". Only people who can create, assign and edit jobs (owner, admin, office, or a custom role with that permission) can change anything. Everyone else sees the board but not the buttons that change it.
3. What each state means
Unassigned: no driver yet. Assigned: a driver, not started. On site: the driver tapped Arrived or started the job, or a geofence recorded an arrival. En route: today only. A driver who has already done a job today and is not on site is treated as heading to their next job, so that job shows as En route. QWTN does not read GPS speed or direction for this, so it is a reasonable inference and not a tracked journey. Done: the job is finished. Problem: a problem has been logged against it, by the driver or from the board.
4. Late and at risk
Late is shown on top of the state. A job is late when the customer's window has closed and the driver has not arrived. The window is the job's window end if one is set, otherwise the booked time plus one hour. An unfinished job from a past day is late. At risk means the job is likely to be late: the route optimiser planned an arrival after the window, the planned arrival passed more than 10 minutes ago and nobody is there, the job is due within 15 minutes and its driver is not on the way, or it has no driver and the window opens within an hour. Planned times come from Optimise day. If you have not run it, lateness is judged on booked times alone.
5. Find the jobs you need
Filter by depot, vehicle, state or driver. Search by customer, postcode, address, waste, driver, vehicle registration or transfer note reference. Sort with needs attention first, booked time or driver. The tiles at the top count the jobs in each state.
6. Reassign jobs
With a mouse, drag one or many jobs onto a driver card. On a touch screen, tick the jobs, or open a job, and choose a driver. Choosing a driver also picks that driver's vehicle for the day, unless you choose a vehicle yourself. Undo stays on screen for 12 seconds. The new driver and the old driver are both told, in the driver app and as a push notification where the driver has push turned on. They get one message each, not one per job.
7. Compliance checks still apply
The same driver and vehicle checks run as on the Schedule: off the road, MOT, tax, insurance, licence and CPC. If your policy allows a block to be overridden, the board asks you to confirm. A hard block stops the move.
8. Flag a problem or message a driver
Open a job and mark a problem: no access, bin not out, contaminated, overweight, refused, container damaged, customer cancelled, unsafe or other. The driver is told. Clear the problem when it is sorted. To message a driver, choose the message icon on their card and write up to 500 characters, or use one of the four quick replies. The message goes through the driver's own notification settings: in the app, by push and by email. If the driver has those switched off, the board tells you.
9. The map
The Map tab shows open jobs by driver. It is the same map as the route planner. Last known vehicle positions appear only when a telematics provider is connected on your account. If none are reported, the map says so.
10. If the live connection drops
The board shows "Live" while it is connected. If the connection drops it checks for changes every 15 seconds and shows "Every 15 s" or "Reconnecting" until it is back.
11. Large screens and tablets
On a wall monitor the drivers, jobs and map sit side by side. On a tablet the board shows one pane at a time with tabs, larger touch targets and filters you can collapse.
12. Test figures
In our own testing on one large account with 40 drivers, 60 vehicles and 3 depots, a day of 962 jobs showed its first rows in about 1.5 seconds on a development server, and scrolling the whole day ran at 60 frames a second. A change made elsewhere appeared on an open board in about 0.4 seconds, and a drag-and-drop reassignment was confirmed in about a second. These are test results, not promises. Your own times depend on your connection and your data.
13. Using the API
On the Fleet plan, a full-access API key can read the board with GET /api/v1/app/ops/board?date=YYYY-MM-DD. Add "since" with an ISO time to get only what changed, and "derive=1" to get each job's state and timing. Assign, problem and message calls act with the key owner's permissions. The Developers page explains how to reach these endpoints.
